- Job Summary
- Primarily responsible for assisting the Medical Administrator and physicians in maintaining smooth daily operations, and planning, implementing, and evaluating short and long-term departmental goals. Assists with daily administrative functions.

- Essential Duties
- Identifies, researches, evaluates, and resolves complex administrative and operational situations.
- Recruits, trains, evaluates, and counsels clerical staff. Cross-trains among several clerical areas to supervise and provide adequate coverage.
- Designs and implements training to clerical staff in computer software and hardware yet to be implemented; trains new clerical staff in CLS; and acts as department resource in resolving computer and training issues.
- Establishes a system to track areas of responsibility, follow-up and deadlines for multiple projects.
- Analyzes administrative and operational functions, implements appropriate changes and system improvements.
- Assists physicians in non-medical functions, which may include, but are not limited to, coordinating meetings, responding to internal and external inquiries, and setting up lectures and presentations.
- Maintains current knowledge of Medicare billing procedures; consults with guests to product superbills and resolve insurance questions; keeps current on electronic Medical billing.
- Execute bi-weekly departmental payroll and maintains accurate payroll records.
- Attends and participates in departmental and interdepartmental meetings and committees.
- Oversees procurement of office supplies; manages and controls expenditures within department budget.
- Prepares presentations and workshops using PowerPoint.
- Attends job-related training, in-services, and courses as appropriate to job responsibilities.
- Prioritized, delegates, and oversees department workload.

- Qualifications
- Knowledge of administrative principles and practices.
- Knowledge of supervisory practices and principles.
- Skill in planning, analyzing, and coordinating activities and establishing priorities.
- Skill in use of personal computers, Microsoft Office (Word, Excel, PowerPoint), Internet utilities, and e-mail systems. Also preferred is experience with a main-frame system.
- Ability to problem-solve and make decisions.
- Ability to communicate effectively.
- Must possess degree or certificate in business related field and 3 years of directly related administrative experience in a medical office setting, or five years of directly related administrative experience.
